Bahamas Ministry of TourismConference Card Creator and Badge & Track
The Ministry searched worldwide for a system that would enable them flexibility in card format and design whilst enabling all attendees at their events to be electronically recorded.
Conference Card Creator in combination with the Badge & Track functionality enables them to create different card styles, in a variety of sizes. Once the cards have been issued to the attendees ID Scan readers are used to capture their attendance at the event and create fresh new contact databases after the meeting.
Seal Events
The award winning event management company – service such organisations as Dixons, Sony, O2 etc. Their aim is to provide complete event solutions including badging and tracking of delegates.

Kathryn Seal was nominated recently as business woman of the year.
BEASecure online card bureau – idcardsonline, powered by ComPicWeb.
BEA is a global leader in enterprise infrastructure software, employing 4,500 people worldwide, in 83 offices, comprising 50 nationalities in 36 countries.
To meet their need for a company wide ID card system, BEA chose ComPicWeb. Their European and Scandinavian offices are able to make online card applications which are then printed and despatched from the IDentilam bureau, after authorisation by the UK office.
BEA users from participating offices have access to the database and current applications, including data and photos, across the internet 24/7 and use a simple online application form for requesting new and updated cards. The card design is automatically embellished with graphics triggered by the entered text eg) to indicate a trained fire warden or first aider.
The next release of ComPicWeb will further expand the system to include a ‘location filter’. This will enable BEA to filter what records can be seen by users of the system. The users will either have access to view all records in the database or to be limited to specific records, according to the location from where the records originated.
Evelyn Glancy of BEA said, “We have found ComPicWeb to be cost effective and secure. We have all the advantages of being in control of our ID card issuing, without any of the costs associated with hardware and system maintenance”.
Interior Government Ministers and their support staff attended, representing UK, France, Italy, Poland, Germany and Spain.
Over 1500 cards were issued, over the 3 days and the categories included Press and Television, event logistics, protection officers and security staff.
IDentilam set up and staffed 3 ID Card stations, using ComPic, in 3 different locations in Warwick. The cards produced carried machine readable data, with unique identifiers, enabling 5 card check stations to be set up at the main entrances to venues. Additionally security staff, using portable PDA machines and machine reader attachments, carried out ‘spot checks’ on card holders. The wireless PDA machines cross checked the card details with a central card database.
The high level of security required for the event was reflected in the fact that 350 police officers from 17 forces were on duty during the conference.
IDentilam were given just 2 weeks to prepare for the meeting.
Thames WaterIDentilam have been supplying Thames Water with a bureau service for ID Cards for the last 10 years.
In 2006 Thames Water and IDentilam had discussions centring on their requirement to have 24/7 online access to their staff and contractor database. ComPicWeb was configured to meet the specific requirements and business model of Thames Water.
The card type to be issued to employees and contractors is automatically ‘data triggered’ to guarantee correct issuing of type of pass. With the latest software version, duplicate checking will ensure that the same card is not issued twice.
Currently under development, after discussions between the two companies, is the facility for 500 staff to provide a ‘door stopper’ online verification procedure. If a Thames Water representative visits a home to carry out maintenance work the representative can hand over the card to the house holder before being granted entry to the house; the house holder will then ring the Thames Water call centre so that the identity of the caller can be verified, online, immediately.
Data on cards issued and in use is readily accessible by authorised users, 24/7.
The database, hosted and backed up by 2 servers, is co-located at a high security data centre guaranteeing a secure, controlled environment for the servers and a constant, reliable, high speed internet connection. The servers are ‘mirrored’ to cover any possible failure by the main server and the 2nd server can be brought into use, at a moments notice, remotely from the IDentilam Headquarters.
“I have just ordered my first ID Card using the new system (ComPicWeb), and I must say that it appears at the moment to be a lot easier and certainly saves a lot of time and effort filling in application forms, printing them off, filling them in, and attaching endless photos.

The Russian Economic ForumThe Forum is the largest Russian Business Event anywhere in the world.
The event is staged over 2 days in London and the Russian companies meet up with investment bankers and fund managers.
IDentilam produce the delegate badges pre-event and then also attend on-site for late accreditation. Over 2,000 delegates are accredited and attend up to 20 sessions with over 150 speakers.
The majority of the badges are collected by delegates within a very short time span. By using IDentilam’s Card Caddie system the issuing process is greatly simplified. The badges are pre-sorted alphabetically into trays for fast distribution and the lightweight case means that the badges can be quickly moved to the different venues.
Post event reporting on attendees is part of the service provided by IDentilam.

UK School GamesEvent Accreditation
– 24/7 online access to all data
IDentilam was contracted by Fast Track Events to carry out the pre-event and onsite badging for competitors, officials, volunteers, media, event staff & stewards at the 2007 UK School Games.
Fast Track, the leading independent sports marketing agency in the UK, were tasked with delivering the successful event which was hosted at 5 venues in Coventry from 23-26th August 2007. The UK School Games is a multi-sport event for 1300 of the most talented young people in the country of school age. Eight sports were combined into a four-day Games environment designed to replicate the feel of major events such as the Olympic and Paralympics Games.
IDentilam was briefed to provide the badging solution to cater for nearly 3500 attendees at the event. ComPic software was used to import registration data, capture images and then print the passes. 32 variations of pass type were produced, incorporating auto-embellishment logos to denote permitted access to secure zones, all venues, VIP areas and meal entitlements. The database was hosted on a secure server which Fast Track could access and query 24/7. Access to the database was via a Web browser enabling remote 24 hour access to the consistently concurrent database – idcardsonline.
The majority of passes were produced pre-event, but IDentilam also manned 2 production units onsite to cater for late accreditation.

All England Lawn Tennis Club (AELTC)14 ComPic systems
120 years after the 1st competitive match was played at the Club, the AELTC approached IDentilam to develop a bespoke solution for the issue of Passes at
“The Championships”.
The first systems were installed and used at the 1997 Championships
Fast forward to 2007 and 14 ComPic workstations, in total, are in use before and during The Championships. More than 40 different card styles are produced, covering such categories as players, ball boys/girls, officials, press, broadcasters, photographers, security workers and permanent and temporary staff etc; the “embellishments” feature within ComPic enables card styles to be subtly or markedly changed, graphically, by inputting textual commands through the keyboard.
20,000 plus cards are issued during The Championships; ComPic interfaces with other systems ensuring that the records of the attendees are always concurrent and readily available in real time. Barcodes printed onto the cards provide a means to tracking card holders and reporting on attendances throughout. The data is constantly refreshed and captured via hand held wands operating over a WIFI network. Passes are worn in flexible card holders with custom printed lanyards to ensure they are visible at all times.
Last minute card requests are produced via ComPic stations at two ACCreditation Perimeter Offices (ACCPO); the ACCPO offices may only add photographs to existing records and print them out. All data is controlled via the administrator’s office and the numbers of cards issued together with protection against duplication is all administrator controllable from a centrally networked office; different business rules may be implemented from the administrator’s workstation. All passes carry a photograph for improved security.
The requirements and specifications of the ComPic functionality are reviewed shortly after The Championships each year and modifications and updates agreed and carried out prior to the next event.
